DXP Ngā Kete access and roles – Data System Refresh programme

This page contains information about DXP Ngā Kete access and roles for the Data System Refresh Programme.

DXP Ngā Kete went live in May 2024. Functionality is being released onto the portal incrementally during 2024 and 2025.

From 1 June, providers should use DXP Ngā Kete to:

  • submit commitments data, and Investment Plan documentation, including strategic intent documents;
  • access notices and documents TEC has published;
  • respond to documents uploaded by TEC; and
  • upload or add documents for TEC.

And, continue to use the following TEC applications until late 2024/early 2025:

  • STEO to maintain registers and for SDR submissions;
  • Workspace2 for Other Fund Actuals Data Submissions – until 1 October 2024;
  • Workspace2 for Fees Free Data Submissions and Documents – until late 2024 / early 2025 (date to be confirmed); and
  • Ngā Kete for Information Products – until late 2024 / early 2025 (date to be confirmed).

TEC Application and DXP Ngā Kete roles

There are five new DXP Ngā Kete roles with access managed through the Education Sector Login (ESL).

DXP Ngā Kete role/s

Existing ESL roles for TEC applications

DXP_GENERAL_ACCESS_USER

From 1 June, use this role to:

  • Access and submit Mixes of Provision (MoPs) and Educational Performance Indicator Commitments (EPICs) and view and upload documents (excluding ‘Commercial Documents’). 

There are some exceptions:

  • Continue to use Workspace2 to upload Other Fund Actuals Data Submissions – until 1 October 2024 and to view and upload Fees Free Data Submissions and Documents until late 2024 / early 2025 (date to be confirmed).

From 1 October 2024, use this role to:

  • Access and submit Other Fund Actuals Data Submissions. 

From early 2025, use this role to:

  • Maintain registers (incl. courses and qualifications), and to access and submit SDRs.

RARAUNGA_SDR_PROVIDER

For now, continue to use this role to:

Maintain registers (incl. courses and qualifications) and to access and submit SDRs (until early 2025.

RARAUNGA_WORKSPACE_USER

For now, continue to use this role to:

Upload Other Fund Actuals Data Submissions – until 1 October 2024, and to view and upload Fees Free Data Submissions and Documents until late 2024 / early 2025 (date to be confirmed).

RARAUNGA_NON_SDR_PROVIDER

For now, continue to use this role to:

Access and submit RS20 returns (unfunded providers only).

DXP_INFO_PRODUCTS_USER

From late 2024 / early 2025 use this role to:

Access / view information products (re-written in Power BI).

TEC_Ngā_Kete_User

For now, continue to use this role to:

Access / view Information Products (Qlik Apps). 

DXP_COMMERCIAL_DOCUMENTS_USER

From 1 June, use this role to:

View and upload documents that have been classified as ‘commercially sensitive’ such as Funding Outcome and Funding Washup letters.

No existing equivalent role.

DXP_FULL_ACCESS_READ_ONLY

From 1 June, use this role to:

View Registers, Data Submissions and Documents (including Commercial Documents) in DXP Ngā Kete.

No existing equivalent role.

DXP_USER_SETTINGS_ADMIN

From 1 June, use this role to:

View and edit user settings for all users in a TEO. At least one user for every TEO must have this role assigned to them (typically it will be the TEC ‘Lead Contact’).

From late 2024 (date to be confirmed) use this role to maintain user email notification preferences.

Email notifications preferences determine the automatic email alert notifications a user will receive informing them that a data submission or document has been provisioned or uploaded into DXP Ngā Kete.

No existing equivalent role.

Notes:

  • Users should maintain and continue to use existing TEC application roles as noted above.
  • Users can have one or more of the new DXP Ngā Kete roles.
  • TEOs should request roles as needed via the normal ESL process. The roles can be added by the TEO Delegated Authoriser.
