What you need to know

Find key information to make your December 2018 SDR process easier.

When is the December SDR due?

Please extract your data on 31 December 2018 in preparation for submitting your SDR by 5.00pm, 31 January 2019.

If you have already extracted and validated your files, please ensure to re-extract and re-validate them on or after 1 January 2019.

New providers

For help on filing your first return please contact us as soon as possible on 0800 601 301 or sectorhelpdesk@tec.govt.nz.

New and change approval requests

To have your new and changed delivery sites, courses and qualifications requests approved please send these before 5.00pm, 24 January 2019 to sectorhelpdesk@tec.govt.nz. We cannot guarantee the timely processing of requests received after this date.

Substitute courses

Please contact us before adding substitute courses to the Services for Tertiary Education Organisations (STEO) website. This will avoid treating them as new courses.

Source of Funding 03

In October 2018 we clarified the use of Source of Funding (SoF) 03. For programme enrolments that start on or after 1 January 2018, SoF 03 can only be used to report course enrolments in:

  • qualifications not approved in STEO as eligible to access SAC Level 3 and above funding, or
  • doctoral study provision where the 4 EFTS threshold for using SoF 01 has been surpassed.

Please review your course enrolment data and make any changes necessary. We monitor the use of SoF 03, and incorrect use may result in you having to resubmit your SDR.

See Monitoring and reporting and the SDR manual (page 29) for more information on how to ensure you report under SOF 03 correctly.

Claiming funding

For course enrolments with a withdrawal date less than 10 percent or one month after the course enrolment start date (whichever comes first), please do not report these course enrolments in your SDR (unless you are required to report the enrolment against SoF 31).

Please review your course enrolment data and make any changes necessary. We monitor course enrolments, and inclusion of these enrolments may result in you having to resubmit your SDR.

See Condition: Claiming SAC3+ / YG Fund Funding and Condition: Confirmed student enrolments.

2018 Workforce Questionnaires

Collecting the annual data for workforce questionnaires takes place with the December SDR. Please prepare the data in advance so you will have a smooth December submission.

Forecasts

TEOs delivering Student Achievement Component (SAC) EFTS at Level 3 and above with a source of funding code of:

  • ‘01 Student Achievement Component Funding’, and
  • ‘29 Maori Pasifika Trades Training Levels 3 and 4’

must provide an EFTS forecast for the current year and for four out-years with each SDR round.

We will use forecasting data to help inform allocations and in-year funding amendments.

Please ensure accurate and realistic forecast data is submitted. It is a requirement of your funding conditions that you provide us with accurate data.

The basis for the forecast will be the EFTS consumed and the EFTS awaiting consumption (refer to SDR Manual “EFTS_MTH” Field Number 2.18), with the addition of your best estimate of the monthly EFTS for students who have not yet enrolled, but are expected to enrol in the remaining months of the year.
